Terms and Conditions

My E-Poster is an initiative of the IEEE Sensors Council designed to provide authors with a digital platform for uploading, managing, presenting, and showcasing research posters at IEEE Sensors Council conferences and events.

By accessing or using My E-Poster, you agree to these Terms and Conditions.

1. Acceptance of Terms

By registering for, accessing, or using My E-Poster, you acknowledge that you have read, understood, and agreed to these Terms and Conditions and our Privacy Policy.

If you do not agree with these Terms, you should not use My E-Poster.

2. Eligibility and Accounts

My E-Poster is intended for authors, researchers, conference participants, organizers, and other users authorized to participate in applicable IEEE Sensors Council conferences, events, or programs.

When creating or using an account, you agree to provide accurate and current information.

You are responsible for maintaining the confidentiality and security of your account credentials and for activities conducted using your account.

You should notify the My E-Poster team if you believe your account has been accessed or used without authorization.

3. My E-Poster Services

Depending on the applicable conference or event, My E-Poster may allow users to:

4. Google Calendar Integration

My E-Poster may provide users with the option to connect their Google Account to Google Calendar functionality within the platform.

When you choose to connect Google Calendar, you will be asked to authorize the Google permissions required by the applicable feature.

The Google Calendar integration may be used to create, display, update, synchronize, or remove calendar events associated with My E-Poster presentations, conference sessions, or related activities.

Use of the Google Calendar integration is optional.

You may revoke My E-Poster's access to your Google Account through your Google Account settings or through a disconnect feature provided by My E-Poster where available.

My E-Poster will use information obtained through Google APIs only in accordance with our Privacy Policy and applicable Google API data-use requirements.

Google services are provided independently by Google and may also be subject to Google's own terms and policies.

5. User Content

You may be permitted to upload posters, text, photographs, illustrations, charts, audio, video, animations, documents, or other research and presentation material ("User Content").

You retain any ownership rights that you hold in your User Content.

By uploading User Content to My E-Poster, you authorize My E-Poster and authorized conference organizers to host, process, reproduce, display, and make the content available as reasonably necessary to operate the platform and present your work during the applicable conference or event.

This permission does not transfer ownership of your research or intellectual property to My E-Poster.

6. Responsibility for Uploaded Content

You are responsible for the content you upload or make available through My E-Poster.

You represent that you have the rights, licenses, permissions, and authorizations required to upload and present the material.

You must not upload content that:

Conference-specific publication, copyright, presentation, and submission requirements may apply in addition to these Terms.

7. Acceptable Use

You agree not to:

We may restrict or terminate access when necessary to protect users, the platform, or conference operations.

8. Presentation Scheduling

Presentation dates, times, locations, and schedules displayed through My E-Poster may be provided or updated by conference organizers.

Schedules may change because of operational, program, venue, speaker, technical, or other conference requirements.

Where calendar synchronization is available, My E-Poster may update a connected calendar event when corresponding scheduling information changes.

Users remain responsible for reviewing official conference communications and schedules.

9. Availability of the Service

We aim to provide reliable access to My E-Poster; however, uninterrupted or error-free operation cannot be guaranteed.

The platform may temporarily be unavailable because of maintenance, updates, technical problems, internet or infrastructure failures, third-party service interruptions, security concerns, or circumstances outside our reasonable control.

Features may be modified, added, suspended, or discontinued where necessary.

10. Third-Party Services

My E-Poster may integrate with services operated by third parties, including Google.

Third-party services are governed by their respective terms, privacy policies, technical requirements, and availability.

My E-Poster is not responsible for changes, interruptions, limitations, or failures originating from an independent third-party service.

11. Privacy and Data Protection

Our collection and processing of personal information is described in the My E-Poster Privacy Policy.

By using My E-Poster, you acknowledge that information will be processed as described in that Privacy Policy.

Google user data accessed through Google APIs is subject to the additional protections described in the Google User Data section of our Privacy Policy.

12. Intellectual Property

Except for User Content and materials owned by third parties, the My E-Poster platform, software, design, interfaces, functionality, and associated materials may be protected by applicable intellectual-property laws.

Nothing in these Terms grants users ownership of the My E-Poster platform or underlying technology.

IEEE names, logos, trademarks, conference branding, and other protected materials may only be used in accordance with applicable permissions and policies.

13. Account Suspension or Termination

My E-Poster may suspend or terminate access where reasonably necessary, including when a user:

Where available, users may also request account deletion in accordance with our Privacy Policy.

14. Disclaimer

My E-Poster is provided for conference, research-presentation, and related informational purposes.

To the extent permitted by applicable law, the service is provided on an "as available" basis without guarantees that every feature will always be uninterrupted, error-free, or compatible with every browser, device, network, or third-party service.

Nothing in My E-Poster should be interpreted as changing the official publication, copyright, peer-review, registration, or presentation policies applicable to a particular IEEE conference, journal, or event.

15. Limitation of Liability

To the extent permitted by applicable law, My E-Poster and the parties involved in providing the service will not be responsible for indirect, incidental, consequential, or similar damages resulting from the use of or inability to use the platform.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.

16. Changes to These Terms

These Terms and Conditions may be updated periodically to reflect changes to My E-Poster, conference requirements, legal requirements, third-party integrations, or platform functionality.

The latest version will be published on the My E-Poster website with an updated effective date.

Continued use of the platform after updated Terms become effective constitutes acceptance of the updated Terms where permitted by applicable law.
